Update.Daily Deadlines

Weekend Edition
The deadline for submissions to the Weekend Edition of Update.Daily is Monday, October 11, 1999. If you have a problem meeting the Weekend deadline, please contact the editors by e-mail.

The e-mail submission deadline for all daily editions is Friday, November 5, 1999. Do Not Submit Articles By E-Mail After November 5! You may submit articles on-site. Deadlines for on-site submissions are listed below.

Daily Editions
Submissions are due by 11:00 A.M. the day before the edition:

  • Monday Edition Deadline: Sunday, November 7 - By 11:00 A.M.
  • Tuesday Edition Deadline: Monday, November 8 - By 11:00 A.M.
  • Wednesday Edition Deadline: Tuesday, November 9 - By 11:00 A.M.
  • Thursday Edition Deadline: Wednesday, November 10 - By 11:00 A.M.

Update.Daily Mission Statement


Update.Daily is a newspaper, printed at the site of the Encompass National Event, which provides information about Event activities. There are five Update.Daily editions: one weekend issue and four weekday issues (one for each weekday of the Event). The weekend edition is distributed at registration; the weekday editions are distributed at the Event site each morning.

The objective of Update.Daily is to provide information to attendees concerning Encompass Event activities. These activities are associated with the Seminars, Symposium, and Trade Show that comprise the National Event. In addition, although Update.Daily is not intended to be a general publication of the US Chapter or the Society as a whole, articles by other units or Chapters concerning activities and events not occurring at the Event may be published, subject to compliance with article guidelines and the restrictions of space availability.

Article submissions are welcomed and encouraged from everyone.

Summary of Update.Daily Article Guidelines


This is a summary of the Update.Daily article guidelines, which are described in detail following this summary.
  • Keep your submission short and to the point.
  • Don't commercialize or try to sell something.
  • Don't make comparisons to competitors' products; avoid qualifiers like "best," "faster," etc.
  • Don't write an article merely to advertise something that's already been published in the Meeting Program or is in the Sessions-at-a-Glance (SAAGs) or Birds-of-a-Feather (BOF) list unless it's necessary to expand on what's previously been printed.
  • Use common sense and good taste.
  • If you have questions or a special case, please send e-mail to the Update.Daily editors at Update.Daily@DECUS.org.

    Update.Daily Article Guidelines

    1. General Guidelines
      1. Articles are normally submitted to Update.Daily by representatives of Encompass units, COMPAQ representatives, and Trade Show exhibitors with the primary intent of informing attendees about activities and happenings at the Event. Please remember that the audience is the Event attendee, and that he or she desires concise information pointing to a location or activity where more detailed information is available.
      2. All reasonable efforts will be made to accommodate the publication of articles that meet the guidelines listed below. However, if the size of submissions for a particular issue exceeds the space available, please be aware that a submission may be shortened or may not be published.
      3. Generally accepted rules of good taste will be enforced. The Editors are responsible for grammar, format, and syntax issues. The Editors of Update.Daily reserve the right to edit or shorten submissions to fit the production requirements of a particular issue. The Editors assume that the information provided in submissions is correct and complete, and are not responsible for the accuracy of the information in submitted articles.
      4. Articles concerning activities should be scheduled for publication on either the day before or the day of the event; they will not be published on both days. For example, if the activity is to occur Tuesday, the submitter should request that the article may appear in Monday OR Tuesday's edition.
      5. An article highlighting a single session or a contiguous stream of sessions is normally not appropriate. If a session's content has changed significantly from the abstract published in the meeting program, or if a new session has been added since the meeting program was printed, then a short article describing the new session content is acceptable.
    2. Guidelines for Submissions from Encompass Units
      Appropriate material for articles submitted by Encompass units includes:
      1. activities of Encompass units at the Event
      2. activities of other Encompass Chapters at the Event
      3. abstracts of new or significantly revised sessions
      4. announcement of a Keynote address
      5. future activities of a unit or chapter (Thursday's issue only).
        Some articles from COMPAQ may also be judged by these guidelines.
    3. Submissions from COMPAQ or Trade Show Exhibitors
      1. Product descriptions in Trade Show articles and COMPAQ articles dealing with products and services should be kept brief, with pointers to where the attendee can get full information.
      2. Articles from vendors who are not exhibitors will not be accepted for publication.
      3. Appropriate material for articles submitted by Encompass Trade Show exhibitors or COMPAQ includes:
        1. non-comparison, new product announcements (products announced more than four months prior to the Event are not considered "new")
        2. special COMPAQ or Trade Show activities, such as product demonstrations, drawings, lotteries, announcements of contest winners, and exhibitor "seminars"
        3. Keynote speakers and special guests
        4. user group meetings held at the Event
        5. authorized evening activities.
      4. Articles submitted by COMPAQ and Trade Show exhibitors:
        1. may mention non-Encompass activities that provide the audience with further technical information
        2. must not be sales-oriented
        3. must not include references to price and delivery
        4. may not provide comparisons with competitive products or services.
      5. Submissions from other sources
        Submissions from sources other than Encompass units, COMPAQ, or Trade Show exhibitors may be accepted for publication at the discretion of the Editors.
    4. Article Priorities
      Articles will be included, space permitting, with the following priorities:
      1. information relating to the logistics of the National Event, such as seminar information, schedule changes, campground information, and BOF sessions
      2. important Event-wide happenings, such as Keynote addresses and plenary sessions
      3. Encompass unit-sponsored functions at the Event, coming from SIGS, LUGS, and other entities
      4. non-event Encompass news, such as articles promoting membership or highlighting Encompass goods and services
      5. articles containing general industry-related or computer information
      6. all other appropriate articles.
        Articles submitted by Trade Show exhibitors may not be judged by these priorities.

    Update.Daily Submission Instructions

    1. Submission Deadlines User, COMPAQ, Trade Show, SIG, LUG, Program Team, and other articles may be submitted prior to the Event for any edition, or at the Event for all editions except the Weekend issue.
      1. Articles for the Weekend edition are to be submitted no later than Monday, October 11, 1999.
      2. Articles for Daily editions may also be submitted by e-mail. Articles submitted by e-mail must be received no later than Friday, November 5, 1999.
      3. Articles for Daily editions may also be submitted on-site. They must be submitted no later than 11:00 AM of the day before the desired publication date.
    2. Advance Submissions for Weekend Edition
      1. ASCII Text: Articles may be sent via e-mail to Update.Daily@DECUS.org.
      2. ASCII or non-ASCII format articles and art or photographs may be submitted directly to the Editor by:
      1. electronic mail to Update.Daily@DECUS.org, with the article/art/photo file as a MIME attachment
      2. a 3.5" DOS diskette, mailed to:

      3. In unusual circumstances, we may be able to arrange for some other transfer method, such as FTP. Please contact the Editors via e-mail.
    3. Advance Submissions for Daily Editions Articles for the daily editions may also be presubmitted as described above, but must be RECEIVED NO LATER THAN Friday, November 5, 1999.
    4. On-Site Submissions for Daily Editions
      1. On-site submissions for daily editions must be received no later than 11:00 AM the day before the issue. Thus, an article for the Monday edition must be received by 11:00 AM Sunday, and so on.
      2. Articles may be submitted by:
        1. Entering the article text at the user terminal outside the Update.Daily office. The location of the office and the terminal will be published in the weekend edition. Instructions for submitting articles will be posted at the terminal.
        2. Delivering the article and any accompanying graphics to the editors on a 3.5-inch DOS formatted diskette.

    These submission instructions are available on the Encompass Web site (http://www.Encompass.org), and are posted in the comp.org.Encompass newsgroup.
